Introduction
events & hospitality industry. – The Warehouse Assistant Manager supports the Warehouse Manager in ensuring the day-to-day operations of the warehouse run efficiently, accurately, and professionally. The Warehouse Assistant Manager plays a central role in event preparation, stock control, administration, coordination with multiple departments, and ensuring that every event leaves the warehouse 100% ready and returns correctly processed. The Warehouse Assistant Manager also supports staff supervision, communication, and overall warehouse workflow. At its core, The Warehouse Assistant Manager ensures that Thirst events are properly planned, accurately packed, professionally dispatched, and seamlessly executed.

The Warehouse Assistant Manager does supervise and coordinate tasks, including:

Ensuring correct stock and equipment quantities are prepared.

Overseeing quality of stock, bar units, and equipment leaving the warehouse.

Assisting with staff coordination and conflict resolution.

Supporting the Warehouse Manager in daily leadership.

Duties & Responsibilities
Key Responsibilities & Accountabilities (Linked to KPIs)

A. Event Preparation & Coordination

Pull event briefs from sales and distribute them to the correct warehouse teams.

Prepare bar, stock, glassware, equipment & iPad kits for all events.

Ensure all event files from previous days are returned, completed, and filed correctly.

B. Stock Management & Quality Control

Participate in monthly stock counts and ensure stock accuracy.

Validate stock quantities and quality for each event.

Assist in receiving deliveries and ensuring correct documentation.

C. Warehouse Administration & System Processing

Capture all event details and documents into the system.

Print stock sheets, bar sheets, equipment lists and distribute them to relevant departments.

Manage internal paperwork flow between FOH, BOH, warehouse, and sales.

D. Departmental Coordination & Communication

The role requires constant communication with:

Sales (to pull briefs, request missing details)

FOH & BOH teams (to ensure correct stock/equipment is prepared)

Events (to confirm dispatch order and returns)

Finance (when documentation is required for invoicing)

Suppliers (when receiving goods)

E. Staff Support & Leadership

Assist Gideon in supervising warehouse teams.

Lead by example in behaviour, standards, and teamwork.

Help resolve team conflicts and ensure smooth workflow.

F. Event Returns & Post-Event Processing

Ensure all equipment, stock, and glassware return to the warehouse correctly.

Process returned files and reconcile event paperwork.

Identify shortages and report to management.

3. Daily Tasks

Pull new event briefs and allocate them to departments.

Prepare iPads, stock sheets, and event checklists.

Assist with receiving & checking supplier deliveries.

Capture paperwork and update warehouse systems.

Communicate with sales, FOH, BOH, warehouse, and events teams.

Oversee stock quality and packing accuracy.

Participate in monthly stock count.

Make sure all files from previous events are returned and processed.

Desired Experience & Qualification
Relevant certificates,diploma,degree.

Strong warehouse and stock management knowledge.

Understanding of event operational requirements.

Proficiency in warehouse systems and admin processes.

Ability to read and interpret sales briefs.

Basic equipment and stock quality assessment skills.

Strong organisational skills.
