Job Description

A dynamic trade enablement company is looking for an experienced Administration Clerk with strong invoicing, reconciliation, and finance administration experience. The successful candidate will support financial operations by preparing accurate invoices, managing supplier administration, reconciling documentation, and ensuring data integrity across accounting systems. This role is suited to a detail-oriented individual who can work independently in a fast-paced environment while maintaining high levels of accuracy and compliance.

Responsibilities:

  • Prepare accurate customer invoices using Sage Cloud Accounting.
  • Match invoices to delivery notes and proof of delivery documentation.
  • Process credit notes in accordance with approved procedures and internal controls.
  • Liaise with internal departments to resolve invoicing and account-related queries.
  • Support month-end finance processes and general financial administration activities.
  • Maintain data accuracy and integrity across accounting and invoicing systems.
  • Reconcile delivery notes from service providers and customers against supplier invoices.
  • Reconcile supplier invoices to supplier statements and resolve discrepancies.
  • Assist with supplier onboarding and credit application processes.
  • Update and maintain supplier records, including financial and BBBEE documentation.
  • Maintain accurate filing and record-keeping practices.
  • Assist with reporting and reconciliation activities using Microsoft Excel.

Requirements:

  • Matric (Grade 12) essential.
  • 1–5 years’ experience in invoicing and general administration.
  • Proven experience using Sage Cloud Accounting.
  • Strong Microsoft Excel skills with experience in reconciliations and reporting.
  • Experience within wholesale, distribution, trading, trade enablement, logistics, or bulk commodities environments would be advantageous.
  • High level of accuracy and attention to detail.
  • Ability to work independently and manage multiple deadlines.
  • Experience working with delivery notes and proof of delivery documentation.
  • Strong written and verbal communication skills.
