EXPERIENCE

Appropriate experience in rendering secretarial/ administrative support services to management/ senior management.

COMPETENCIES (KNOWLEDGE/SKILLS)

Computer literacy, with knowledge in the MS Office Suite (MS Word, Excel, PowerPoint, Teams, Outlook) and AI Applications. Good interpersonal, verbal and written communication skills (including telephone and email etiquette). High-level reliability and ability to function in a team and or independently. Ability to analyse information and draft reports. Self- Management and motivation, including good grooming and presentation. Sound organisational skills. Maintain a high level of professionalism and confidentiality. The ability or experience to effectively manage the diary and related support functions remotely when required.

DUTIES (KEY RESULT AREAS/OUTPUTS)PROVIDE EXECUTIVE SECRETARIAL SUPPORT IN-PERSON OR REMOTELY TO THE CHIEF DIRECTOR (I.E DIARY MANAGEMENT, ADMINISTRATIVE SUPPORT AND RECORDS MANAGEMENT). RENDER ADMINISTRATIVE SUPPORT SERVICES TO THE CHIEF DIRECTOR, INCLUDING PROCUREMENT OF GOODS AND SERVICES. SUPPORT THE CHIEF DIRECTOR WITH THE ADMINISTRATION OF THE BUDGET IN THE OFFICE OF THE CHIEF DIRECTOR. PROVIDE SUPPORT TO THE CHIEF DIRECTOR REGARDING MEETINGS, INCLUDING MINUTE TAKING AND PRESENTATIONS. SUPPORT THE CHIEF DIRECTOR WITH THE ADMINISTRATION OF ALL PEOPLE MANAGEMENT/HUMAN RESOURCE ASPECTS. RENDER AN ADMINISTRATIVE SERVICE TO STAFF WITHIN THE OFFICE OF THE CHIEF DIRECTOR. STUDIES THE RELEVANT PUBLIC SERVICE AND DEPARTMENTAL PRESCRIPTS/ POLICIES AND OTHER DOCUMENTS AND ENSURE THAT THE APPLICATION THEREOF IS UNDERSTOOD PROPERLY.

Duties (key result areas/outputs)Provide executive secretarial support in-person or remotely to the Chief Director (i.e diary management, administrative support and records management). Render Administrative support services to the Chief Director, including procurement of goods and services. Support the Chief Director with the Administration of the budget in the office of the Chief Director. Provide support to the Chief Director regarding meetings, including minute taking and presentations. Support the Chief Director with the administration of all People Management/Human Resource aspects. Render an administrative service to staff within the office of the Chief Director. Studies the relevant Public Service and departmental prescripts/ policies and other documents and ensure that the application thereof is understood properly.

INHERENT REQUIREMENTS OF THE JOB

Valid SA driver’s licence (Code B/EB).

MINIMUM EDUCATIONAL QUALIFICATION

An accredited secretarial diploma and/or administrative qualification on the level of NQF level 5 (a certificate of completion should be provided). Qualification on a higher level may also be accepted on condition that the subjects of the qualification align to the functions of the job.
