A rewarding opportunity awaits a highly organised, professional, and proactive Executive Assistant to provide comprehensive administrative and executive support to our Managing Director for National Brands (Logistics, Field Marketing and Planning) and members of the Executive Leadership Team based at NBL Head Office in Bryanston, Johannesburg.

This is a dynamic role requiring exceptional organisational skills, sound judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will play a key role in enabling executive effectiveness through efficient coordination, administration, and stakeholder engagement while maintaining the highest level of confidentiality.

                    

Reporting Structure:

  • Reports to: Managing Director: National Brands
  • Direct Reports: None

 

Key Areas of Impact:

 Executive Support

  • Manage complex executive diaries, appointments, and scheduling.
  • Coordinate day-to-day executive activities and priorities.
  • Arrange domestic and international travel, including flights, accommodation, visas, foreign exchange, and vehicle hire.

 

 Meeting & Event Coordination

  • Coordinate Executive Committee (Exco) and leadership meetings.
  • Arrange meeting logistics, venues, catering, and documentation.
  • Prepare and distribute meeting packs, presentations, and reports.
  • Coordinate corporate functions, events, and special occasions.

 

 Documentation & Communication

  • Prepare presentations, reports, and correspondence.
  • Screen and direct incoming communications.
  • Maintain confidentiality when handling sensitive information.

 

 Administration & Office Management

  • Process expense claims, invoices, and vendor documentation.
  • Facilitate corporate credit card and fuel card applications, amendments, and cancellations.
  • Manage office supplies and stationary requirements
  • Manage day-to-day operational requirements
  • Coordinate with IT and Shared Services regarding office equipment, maintenance, and technology support.
  • Manage company assets, including laptops and equipment procurement, transfers, and disposal processes.
  • Support ad hoc projects and administrative initiatives.
  • Minute taking for Risk meetings

 

 Stakeholder Coordination

  • Act as a key point of contact for internal and external stakeholders.
  • Manage incoming communications and ensure timely responses.
  • Coordinate communication between executives and business stakeholders.

 

What It Takes to Succeed:

Experience that set you up for success:                       

  • 6–8 years’ experience providing executive support to Executives and Directors.
  • Proven experience using SAP (essential).
  • Experience with online travel booking platforms.
  • Demonstrated experience managing complex executive diaries, travel arrangements, and executive administration.

 

Qualifications & Certifications that will contribute to your success:

  • Grade 12 (Matric).
  • A tertiary qualification in Business Administration, Office Administration, or a related field will be advantageous.

 

Additional Requirements that will enhance your impact for success:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Working knowledge of SharePoint or similar document management systems.
  • Excellent organisational, planning, and time-management skills.
  • Strong written and verbal communication abilities.
  • High attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Professional, discreet, and able to maintain strict confidentiality.
  • Strong interpersonal and stakeholder relationship management skills.
