Job Description

Dis-Chem Pharmacies’ has an opportunity available for a Compliance Coordinator to join the Finance team in Midrand. The main purpose of this role will to support the effective management of the Group’s regulatory and compliance obligations by maintaining compliance frameworks, coordinating regulatory inputs and assisting with the monitoring of adherence to applicable laws and internal policies. The role focuses on regulatory alignment, policy support and compliance oversight activities, ensuring that compliance requirements are understood, documented and tracked across the business.

Minimum Requirements…

Essential:

  • Matric or equivalent Senior Certificate.
  • Bachelor Degree in Risk Management, Internal Audit, Finance, Law, Compliance or related field
  • Minimum of 1 – 3 years’ experience in compliance, risk management, internal audit, legal support or an administrative role with regulatory or governance exposure

Advantage:

  • Exposure to regulatory compliance, compliance monitoring, or audit processes is advantageous but not essential.
  • Familiarity with compliance or GRC systems

Job Specification…

Compliance Administration and Coordination:

  • Assist in maintaining the Group compliance universe and regulatory obligation registers across applicable legislation.
  • Support the mapping of regulatory requirements to business processes and internal controls.
  • Maintain structured records of applicable legal and regulatory obligations across business units.
  • Assist in ensuring that compliance requirements are appropriately documented and aligned to policies and procedures.
  • Maintained compliance universe and regulatory obligation registers
  • Updated regulatory logs and policy documentation.
  • Documented outcomes of compliance monitoring activities.
  • Compliance reporting inputs and supporting documentation.
  • Coordinated regulatory submissions and stakeholder follow ups.

Regulatory Framework Support:

  • Monitor updates relating to key regulatory frameworks applicable to the organisation, including POPIA, JSE Listings Requirements, SAHPRA and King IV/V.
  • Maintain logs of regulatory developments and support the assessment of their impact on business operations.
  • Assist with the coordination and communication of regulatory updates to relevant stakeholders.
  • Support the review and update of policies and procedures in response to regulatory changes.

Second Line Compliance Monitoring Activities:

  • Support the execution of the Compliance Monitoring Plan through predefined compliance reviews.
  • Perform structured compliance checks against regulatory requirements and internal policies as directed.
  • Perform compliance testing in stores as well as ad hoc reviews based on requirements or issues identified.
  • Gather and organise supporting documentation to demonstrate adherence to regulatory obligations.
  • Document findings from compliance reviews, focusing on factual observations and identified areas of non-compliance.
  • Escalate compliance breaches, gaps or control weaknesses to the Compliance Manager for further assessment.
  • Monitor progress against agreed remediation plans and maintain compliance tracking records.

Reporting and Data Support:

  • Assist with the preparation of compliance inputs for governance structures, including management and committee reporting.
  • Support the collation of information required for regulatory submissions, disclosures and reporting obligations.
  • Maintain documentation required for regulatory inspections, audits and external reviews.
  • Ensure compliance records are complete, accurate and readily available for review.
  • Support data maintenance in compliance or GRC systems.

Stakeholder and Team Support:

  • Act as an administrative support contact for business unit compliance representatives.
  • Follow up on regulatory submissions, compliance confirmations and outstanding requirements.
  • Support management in promoting awareness of regulatory requirements and compliance expectations.
  • Assist in the coordination of compliance training and awareness initiatives.
