<p>To assume full control of the daily detailed activities across allocated areas and locations, ensuring that the external and internal SLA’s are achieved in line with the Standard Operating Procedures (SOP) and Compliance Standards and Policies.</p>

<p><strong>KEY RESPONSIBILITIES</strong> include the following. Other duties may be assigned.</p>
<p><strong>Process Management</strong></p>
<ul>
<li>Supervises the daily activities of the areas and locations under your control.&nbsp;</li>
<li>Liaise and manage the co-ordinators and staffing to ensure that the daily, weekly and monthly objectives are achieved.&nbsp;</li>
<li>Conduct start and end of shift daily.</li>
<li>Ensure that all SLA are met for internal and external clients.&nbsp;</li>
<li>Manage non-performance matters and report the process to your manager.&nbsp;</li>

<li>Supervise staff and process over multiple sites.</li>
<li>Ensure open work orders are closed within SLA.</li>
<li>Ensure waste paper revenue targets are met.</li>
<li>Ensure box exceptions are managed and completed daily.</li>
<li>Ensure warehouse checklists are timeously completed.</li>
</ul>
<p><strong>People Management</strong></p>
<ul>
<li>Ensures that permanent and temporary staff is trained, inducted on first day, skilled and that their expertise is optimally applied.</li>
<li>Ensures that the working environment contributes to improve staff morale and increase productivity.</li>
<li>Responsible for performance management of staff.</li>
<li>Responsible for resource planning based on demand and motivate to Line Manager.</li>
<li>Responsible for completion of employee performance appraisals.</li>
</ul>
<p><strong>SUPERVISORY RESPONSIBILITIES&nbsp;</strong></p>

<li>Has overall responsibility for a staff complement of 5 to 20.</li>

<p>Responsibility for the full maintenance of Metrofile KZN facilities. Inspects facilities and equipment to determine need and extent of service, equipment required and type and number of operational staff required. Ensures that the organisation has the most suitable working environment for its employees and their activities. &nbsp;Has oversight of the entire facilities team, suppliers and service providers.</p>
<p></p>
<p><strong>KEY RESPONSIBILITIES</strong> include the following. Other duties may be assigned.</p>
<p><strong>Process Management &#8211; Facilities</strong></p>
<ul>
<li>Control and maintenance of facilities (including property maintenance, i.e. buildings, office furniture and equipment, grounds, 24 hour security considerations, safety and security checks and procedures, signage, safety equipment, lighting, plants, cleaning services, etc.)</li>
<li>Oversees maintenance of gardens and grounds.</li>
<li>Responsible for renovations to interior/exterior surfaces, fixtures, and fittings.</li>
<li>Checks and ensures that agreed work by staff and contractors has been completed satisfactorily and follow up on any deficiencies.</li>
<li>Expedite jobs being done when so required.</li>
<li>Responsible for maintenance and safe keeping of all equipment (i.e., tools, ladders, etc.).</li>
<li>Responds timeously to operational emergencies such as electrical failures, water leaks, etc. and stays available for emergency call out.</li>
<li>Responsible for adherence to the OHS Act and good housekeeping of the facilities at all times.</li>
<li>Oversees Health &amp; Safety in accordance with the OHS Act.</li>
<li>Responsible for overseeing the security of facilities on a 24 hour basis.</li>
<li>Maintain and enhance company security and safety routines.</li>
<li>Maintain and test emergency equipment and procedures.</li>
<li>Provide appropriate reports as defined.</li>
<li>Perform minor electrical, mechanical, or structural repairs.</li>
<li>Checks and ensures that all fire fighting equipment is inspected and serviced as per regulations.</li>
<li>Liaise with service providers.</li>
<li>Ensures that facility lock-up procedures are adhered to.</li>
<li>Manage Non Conformance Report daily.</li>
<li>Submits daily, weekly, and monthly reports to the Operations Manager as required.</li>
</ul>
<p><strong>Risk Management – Facilities&nbsp;</strong></p>
<ul>
<li>Identify potential risks and action such risks timeously.</li>
<li>Ensure all risk tasks are kept up to date on Safecyte.</li>
<li>Review non-compliance reports and attend to weekly non-compliance.</li>
<li>Prepare for and attend to yearly risk audits &amp; action the results from those audits.</li>
<li>Manage the progress of the rectification of all issues identified during the regional operational risk audits and action certain items that were raised in order to mitigate the risks identified.</li>
</ul>
<p><strong>Procurement Management &#8211; Facilities</strong></p>
<ul>
<li>Responsible for the procurement of facility related equipment and material.</li>
<li>Complete the relevant documentation and liaise with the Procurement department at Head Office.</li>
<li>Evaluate suppliers by sourcing suitable suppliers and assist in negotiating pricing and service delivery. &nbsp; &nbsp;&nbsp;</li>
</ul>
<p><strong>People Management</strong></p>
<ul>
<li>Support the employee lifecycle including recruitment &amp; selection, learning &amp; development, performance management, reward, employee relations, succession planning etc in collaboration with Human Resources.</li>
<li>Ensures that staff is trained, skilled and that their expertise is optimally applied.</li>
<li>Ensures that the working environment contributes to improve staff morale and increase productivity.</li>
<li>Ensure that the targets are achieved according to the benchmarks set.</li>
<li>Ensure that staff are cross trained within all the Warehouse functions and kept up to date with all system changes, policies, etc.</li>
<li>Lead people driven group initiatives to ensure employee wellbeing and organisational effectiveness.</li>
<li>Ensure that staff are trained on the use of equipment and hoist/dumbwaiters.</li>

<li>Be vigilant and alert of surroundings to identify suspicious activities and inform Security Guards according to Dis-Chem standard operating procedures.</li>
<li>Monitor and control access to the premises by documenting and regulating entrance into the site by vehicles or pedestrian’s access points to allow entry only to individuals with the correct authorization.</li>
<li>Investigate and report signs of damage or unlawful entry as it occurs to management and act accordingly in the best interest of protecting Dis-Chem assets.</li>
<li>Be professionally courteous and friendly, approachable, and willing to help others when receiving guests, customers, and employees.</li>
<li>Protect the property and assets of the business from all dishonest persons, action or any acts of malicious behaviour that could result in the company suffering loss.</li>

<li>When working during the night or alone e.g., after hours render on-going surveillance of the premises by patrolling the grounds and using closed-circuit camera monitoring or alarm systems to detect and investigate suspicious activities to ensure that only legal entrance to the premises is maintained.</li>
<li>In emergency situations provide assistance to the emergency teams e.g., alert first responders, clinic sisters, managers etc.</li>
<li>Maintain order during evacuation procedures and at assembly points by providing exact directions or decisive actions to ensure the safety of lives and property by preventing stampedes and breakdown of law and order or illegal entrance to the premises.</li>
<li>Offer on-going security advice and safety warnings and tips to ensure that all security and safety precautions are adhered to.</li>
<li>Be vigilant &#8211; watch out for any suspicious activities that may mean a breach in security measures that have been put in place on the site.</li>
<li>Interpret quickly whatever is seen and act accordingly.</li>
<li>Respond quickly and correctly during crisis &#8211; be alerted to avoid being caught unaware.</li>
<li>Know how best to respond to various dangerous situations according to industry and Dis-Chem standard operating procedures.</li>
<li>During some very dangerous situations (such as armed robbery attacks or assaults with deadly weapons), waste no time in calling the police to prevent loss of lives or property.</li>
